1. About this policy
This policy explains how Hohaia Bookkeeping (“we”, “us”, “our”) collects, holds, uses and shares personal information — on this website page, through its forms and bookings, and when you email, text or call us. We are bound by, or have chosen to follow, the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth). We also follow the Spam Act 2003 (Cth) for emails and text messages.
Personal information means information or an opinion about you that identifies you, or could reasonably identify you.

This page is built and hosted with The Lead Engine, a CRM (customer relationship management) service from Keo Collective Pty Ltd (ACN 702 528 603), which looks after the information on our behalf.
3. The personal information we collect
Depending on how you deal with us, we may collect:
- Contact details — your name, email address, mobile and phone numbers, and street or postal address.
- Business details — your business name, website, ABN, industry, size and location.
- What you tell us — your answers in our forms, checklists and quizzes, your messages, the help you're asking for, and any files or photos you upload.
- Bookings — the times you book or change, and any notes you add.
- Our conversations — emails, text messages, notes of phone and video calls, and the replies you send.
- Payments — if you pay us online, the amount, date and a receipt. Card details are entered straight into our payment provider (Stripe); we never see or keep your full card number.
- Your choices — whether you agreed to receive emails and texts, and when you asked us to stop.
- Technical information — the pages you visit and buttons you click, the time, the website or ad that brought you here (including campaign tags and ad click identifiers), and general information about your device and browser. Your internet (IP) address is used to deliver the page, protect it from misuse and estimate your general location.
- If you become a client — the information we need to do the work we agree on, which our engagement terms describe.
4. Sensitive information and tax file numbers
We don't ask for sensitive information (such as health information, racial or ethnic origin, religious or political beliefs, sexual orientation or criminal record) through this page. Please don't include it in a form or message. If we ever need it to help you, we'll only collect it with your consent or where the law allows.
Please never send your tax file number (TFN), bank account passwords or identity documents through a website form, email or text. If we need them, we'll give you a safe way to provide them.
5. How we collect it
- From you — when you fill in a form, book a time, download a guide, email, text or call us, meet with us, or become a client.
- Automatically — when you use this page (see “Cookies and visit counts” below).
- From others — a person or business who refers you to us, our referral partners, advertising platforms when you send an enquiry through an ad's form, and public sources such as business directories, your business's website and social media pages.
If we collect information about you from someone else, we'll take reasonable steps to let you know and to tell you what this policy says. If someone else gave us your details and you'd rather we didn't have them, tell us and we'll delete them.
6. Staying anonymous
You can read this page without telling us who you are. To reply to an enquiry, book a time or work with you, we need your name and a way to contact you.
7. Why we collect, hold and use it
- To reply to your enquiry and give you what you asked for — a guide, a checklist result, a quote, a booking or a call.
- To provide our services if you become a client, and to manage invoices, payments and our records.
- To send you emails and texts about our services, offers and helpful information — only with your consent or where the law allows, and always with an easy way to stop.
- To remind you about bookings and follow up things you've started.
- To understand which pages, ads and messages work, so we can improve them.
- To keep our page, forms and systems secure and to stop spam and misuse.
- To meet our legal, tax, professional and regulatory obligations, and to deal with complaints or legal claims.
We won't use your information for a purpose you wouldn't reasonably expect without asking you first, unless the law requires or allows it.
8. Emails, texts and unsubscribing
We only send marketing emails and texts when you've agreed to them or the law otherwise allows it. Every message tells you who it's from and how to stop: every email has an Unsubscribe link, and you can reply STOP to any text. You can also ask us directly. We action requests straight away, and always within 5 working days. We keep a record that you opted out so you don't get more marketing from us.
Emails may contain a small tracking image and tracked links so we can see whether a message was opened or a link was clicked. Some email programs and security systems open emails and links automatically; we filter these out as best we can.
We never sell, rent or trade your personal information or our contact lists.
9. Who we share it with
We share personal information only as needed for the purposes above, with:
- Keo Collective Pty Ltd (The Lead Engine) — the CRM that holds our contacts, runs this page and its forms, and sends our emails and texts. It acts on our behalf and only uses the information to provide the service to us.
- Cloudflare — website hosting, data storage, email delivery and the security check on our forms.
- Texto — sending and receiving text messages.
- Stripe — taking online payments.
- Anthropic — artificial intelligence (AI) that may help us draft messages and sort enquiries. A person at our business stays responsible for what we send and decide.
- Google and Meta (Facebook and Instagram) — if you reach us through one of our ads, or send an enquiry through an ad's form, these platforms may share that with us and measure the ad's results under their own privacy policies.
- Referral partners — only if you ask us to pass your details on or agree to it.
- Our professional advisers — such as our accountant, lawyer or insurer, who must keep it confidential.
- Government bodies, regulators, courts and police — when the law requires or allows it.
Our service providers are only allowed to use your information to do work for us.
10. Information sent overseas
Some of our service providers store or process information outside Australia. Cloudflare runs a worldwide network and may handle information in many countries. Stripe, Anthropic, Google and Meta handle information in the United States and other countries where they operate. Before we use a provider, we take reasonable steps to make sure it protects personal information in a way that is consistent with the APPs, such as through its security practices and contract terms.
11. Keeping it secure
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, change or disclosure. Pages and forms are sent over encrypted connections (HTTPS). The information is stored with security controls, and only people we authorise can sign in to see it. Our forms are checked for spam and bots. No system is completely secure, so please contact us straight away if you think something has gone wrong.
12. How long we keep it
We keep personal information only for as long as we need it for the purposes in this policy or as the law requires — for example, business, tax and financial records are generally kept for at least 5 years. When we no longer need it, we delete it or remove the details that identify you. If you ask us to delete your details, we will, unless the law requires us to keep them; we'll keep a minimal record that you asked us not to contact you, so we can respect that.
13. Cookies and visit counts
This page counts visits, the website or ad that brought you here and which buttons are clicked, so we can see how it's going. The Lead Engine doesn't use advertising cookies to follow you to other websites. Your browser may store small amounts of information so a form can remember what you've already typed. You can clear cookies and stored information in your browser settings, and the page will still work.
14. Seeing or correcting your information
You can ask to see the personal information we hold about you, and ask us to correct anything that is wrong, out of date, incomplete or misleading. Contact us using the details above. We'll need to confirm who you are first. We'll respond within 30 days, and there's no charge to ask. If we can't give you access or make a correction — for example, where the law lets us refuse — we'll tell you why in writing and how to complain. If we don't agree a correction is needed, you can ask us to keep a note of your view with the information.
15. If there's a data breach
If there's a data breach that is likely to cause you serious harm, we'll contain it, assess it and, as required by the Notifiable Data Breaches scheme, tell you and the Office of the Australian Information Commissioner (OAIC) as soon as practicable, with what happened and what you can do.
16. Complaints
If you're unhappy with how we've handled your personal information, contact us first using the details above and tell us what happened. We'll acknowledge your complaint, look into it and give you our response within 30 days.

17. Children
This page and our services are meant for adults and businesses. We don't knowingly collect personal information from children under 16. If you think a child has given us their details, contact us and we'll delete them.

This page may link to other websites, such as social media, booking or payment pages. We aren't responsible for how they handle personal information, so please read their privacy policies.
19. Changes to this policy
We may update this policy from time to time. The latest version is always on this page, with the date it was last updated.
